Welcome to True Indochina Tours website. If you continue to browse and use this website, you are agreeing to comply with and be bound by the following terms and conditions of use, which together with our privacy policy govern True Indochina Tours relationship with you in relation to this website. If you disagree with any part of these terms and conditions, please do not use our website.

1. Booking & Confirmation Process

1.1. Booking Request

Bookings can be made through our website, email, or by contacting our representatives directly. A booking is considered valid only after we confirm availability and receive the required deposit. 

1.2. Confirmation

 After receiving your booking request, we will send a confirmation email containing your itinerary details and payment instructions within 48 hours. Your booking is not confirmed until you receive this confirmation email and make the required deposit payment.

2. Payment Policy

2.1. Deposit

To secure your booking, a deposit of 50% of the total tour price is required after confirming the booking. 

2.2. Balance Payment

The remaining balance must be paid no later than 30 days prior to your trip commencement date. For bookings made within 30 days of the departure date, full payment is required at the time of booking.

3. Safety & Flexibility

Safety is always our first priority so any trip is covered with best-arranged accommodation and transportation. All of our tours are well-planned and prepared to avoid any risk or unexpected thing during the trip. As a professional tour operator in Vietnam (and Myanmar, Laos, Cambodia), we always ensure the safety of any individual, any tour group from small to big.

Flexible alteration of itinerary: Your booking can be amended even after it is made. Alterations to your itinerary prior to your trip departure are happily processed as quickly as possible. Alterations after payment of the deposit will involve a sum of fee which depends on third parties such as cruise operators, airlines, and hotels.

4. Children Policyy

This policy applies to children based on the year of birth indicated in their passport.

4.1. Tour Package

  • Under 3 years old: Free of charge.
  • From 4 to 7 years old: 50% of the adult price.
  • From 8 to 11 years old: 75% of the adult price.
  • From 12 years old: Charged as an adult.

4.2. Flight Tickets

Airfare will vary depending on the airline, but the general policies are as follows:

  • An infant under the age of 2 without a seat is charged 10% of the adult fare.
  • Children between the ages of 2 and 12:
    • On domestic itineraries: 90% of the adult fare.
    • On international itineraries: 75% of the adult fare.

5. Travel Insurance

We strongly recommend that all clients purchase comprehensive travel insurance covering:

  • Trip cancellation and interruption
  • Medical expenses and emergency evacuation
  • Baggage loss or damage
  • Personal liability

True Indochina Tours is not responsible for any losses, damages, or additional expenses that may arise due to the absence of adequate travel insurance.

6. Health Requirements

Clients should take into account all international travel risks and familiarize themselves with health requirements applicable to the areas they intend to visit. The client is solely responsible for checking the safety and security conditions, vaccination, and other health requirements of governments in countries visited or transited.

While there are no mandatory vaccinations required for entry into Vietnam, Cambodia, Laos we recommend consulting your doctor or a travel health specialist before your trip.

7. Complaints & Claims

Shall you feel unsatisfied with any service True Indochina Tours has provided, please notify your local tour guide or your travel advisor to avoid the potential for similar problems happening again during your trip.

In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. We will not be liable for any claims made later than 15 days after the completion of your tour.

8. Luggage Allowance

To help keep your trip smooth and stress-free, here’s a quick guide to what you can pack:

  • On most domestic flights in Vietnam, you’re allowed:

    • 1 carry-on bag (up to 7 kg)

    • 1 checked bag (usually up to 20–23 kg depending on the airline and ticket type)

  • Some budget airlines (like VietJet or Bamboo Airways Eco fares) may not include checked baggage by default. If that’s the case, we’ll either inform you in advance or help you add it before departure.

  • For bus and train travel, space is limited — we recommend keeping your luggage light and easy to carry. A soft suitcase or backpack under 20–25 kg is perfect.

 If you plan to shop or bring extra items, no worries — just let us know and we’ll help you figure out the best way to manage any extra baggage fees.

9. Passport & Visa Requirements

9.1. Passport

All travelers must have a passport valid for at least 6 months beyond their planned stay in Vietnam. It is the client’s responsibility to ensure their passport meets these requirements.

9.2. Visa

  • Visa-Exempt Countries: Citizens from certain countries may enter Vietnam without a visa for specified durations. It’s the traveler’s responsibility to verify their eligibility.

  • E-Visa: Travelers from non-exempt countries can apply for an e-Visa online, valid for up to 90 days. Processing times and fees apply.

  • Visa on Arrival: Not recommended due to the convenience of the e-Visa system. If chosen, pre-approval is mandatory.

It’s imperative for travelers to confirm the latest visa requirements based on their nationality and ensure all necessary documents are prepared before departure. Any visa-related issues may result in denied boarding or entry, for which the tour operator cannot be held responsible.

10. Liability & Responsibility

  • True Indochina Tours provides tour information and Vietnam, Cambodia & Laos tour bookings. True Indochina Tours publishes travel information and services gathered from the selected quality hotels, air ticket agencies, and tour companies & operators. We will not be responsible for errors, omissions or inaccuracies in the information provided by third-party providers.
  • True Indochina Tours shall not be responsible for any wrongful or negligent or fraudulent, omissions, changes of itinerary, cancellation or the failure of any equipment operated by those suppliers or any other party not directly owned or controlled by True Indochina Tours.
  • True Indochina Tours shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond True Indochina Tours’ control. Neither True Indochina Tours nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes.
  • True Indochina Tours is not responsible for a client’s failure to comply with customs regulations.
  • True Indochina Tours is not responsible for the theft or loss of any customer’s valuables or items of personal property due to the negligence of the customer.
  • True Indochina Tours reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If True Indochina Tours has canceled any tour prior to the commencement of the tour, True Indochina Tours is liable for a full refund of the money received from the client.
  • Many of True Indochina Tours’ tour packages include activities that require care and attention. Such activities include boarding and going ashore from boats, climbing hills and entering and exiting tombs and caves, etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. True Indochina Tours, its employees and agents cannot be responsible for any action or event that occurs after its said employees and agents have exercised their duty and taken the necessary care.
  • True Indochina Tours reserves the right to modify or rescind the terms and conditions in whole, or in part at any time with or without notice.

11. Cancellation & Refund Policy

11.1. Cancellation by Clients

More than 40 days 10% of the deposit paid is non-refundable. This will be saved for your next trip with us. The rest of the deposit paid will be refunded (bank fee levied by your end)
Between 40 – 30 days 35% charge of the deposit paid
Between 29 – 15 days 50% charge of the deposit paid
Between 14 – 10 days 75% charge of the total booking value
Less than 10 days or No show 100% of holiday cost

After the trip has commenced, we are unable to refund any amount for unused services due to your willingness, early departure, late arrival, or missed days on tours.

11.2. Cancellation by Company

True Indochina Tours reserves the right to cancel any tour due to unforeseen circumstances such as natural disasters, political instability, or if the minimum number of participants is not met. In such cases, you will receive a full refund or the option to transfer to an alternative tour. However, we are not responsible for any additional expenses incurred by clients (e.g., flights, accommodation, visa fees).

12. Specific Regulation for Vietnam Tours

12.1. Religious & Cultural Considerations

  • Vietnam is a country with rich cultural traditions and strong respect for elders and authority.

  • Visitors are expected to dress respectfully, especially when visiting temples, pagodas, or rural areas. Shoulders and knees should be covered.

  • Shoes must be removed when entering temples and some traditional homes.

  • Public displays of affection are generally avoided in rural or conservative areas.

  • Alcohol is widely available, but excessive drinking or disruptive behavior in public is frowned upon.

  • Avoid discussing sensitive political topics or commenting on the government publicly.

  • Photography is welcome, but avoid taking pictures of military sites, border areas, or government offices without permission.

12.2. Weather Considerations

Vietnam has a tropical to subtropical climate with regional variations. Expect hot and humid summers, cooler winters in the north, and occasional heavy rain during the monsoon season (May–October in the South; September–November in the Central region). Average temperatures range from 10°C (50°F) in Northern winter to 35°C (95°F) in Southern summer. Tour adjustments may be necessary due to weather-related disruptions.

12.3. Force Majeure

True Indochina Tours cannot be held responsible for any loss, delay, or changes to your tour due to events beyond our control. These may include, but are not limited to:

  • Natural disasters (e.g., floods, typhoons, earthquakes)

  • Political unrest or civil disturbances

  • Epidemics or health emergencies

  • Government regulations or restrictions

  • Transportation breakdowns or strikes

  • Closure of roads, airports, or borders

  • Unexpected weather conditions

In such circumstances, we reserve the right to make necessary changes to your tour. If your tour is canceled due to force majeure, we will offer either a full refund of payments made to us or propose a comparable alternative.

13. Modification or Discontinuance of Service

True Indochina Tours reserves the right to modify or discontinue service to clients who behave illegally or objectionably toward its employees and agents. Offensive behavior includes behavior that is obscene, racially offensive, or of a sexual nature.

14. Privacy Policy

True Indochina Tours respects your privacy and is committed to protecting your personal information. We collect only necessary information required to process your booking and provide our services. Your information will not be shared with third parties except as required for booking services related to your tour.
